Global Tour manager

POSITION SUMMARY: The RahGor Tour Managers are responsible for organizing, planning and conducting short/long distance tours for Rahfeal Gordon. They will make sure that the tours runs smoothly from venue to venue without any issue. Logistical concerns like finance, accommodations, transportation, promotions, and merchandise all fall in the tour manager’s domain. The tour manager holds the paychecks, the room keys, and the phone number for late-night pizza delivery as well.

WHAT TO EXPECT: Life on the road is exciting and fun but not for everyone. Tours can last for weeks / months at a time at breakneck pace. The hours are long, and stress can build up as you work to keep every detail of the production running according to plan. Expect to encounter a daily crisis and be prepared to think on your feet to maneuver around it. Problem solving and resourcefulness will make the difference between success and failure when your flight is delayed or books are being held up in customs. Your first responsibility is to Rahfeal "RahGor" Gordon (your employer) and to the management team that represents him. They have entrusted you with a huge responsibility to make things go as smooth as possible. You must be detail-oriented, a great communicator, and flexible enough to accommodate changing needs and environments.

DUTIES:

  • Overseeing travel arrangements; i.e. RahGor onto the bus or to the airport in time
  • Paying per diems to tour management team
  • Overseeing venue arrival - double-checking hospitality and technical arrangements
  • Oversee merchandise to make sure its at venue
  • Overseeing promotional activities
  • Supervising setup operations
  • Ensuring venue is ready to open on time by supervising sound check times
  • Settling performance fee with event coordinator and collecting any due cash
  • Ensuring all touring equipment is re-packed and loaded back onto tour transport
  • RahGor and management team schedule sheets for the next day
  • Troubleshooting unforeseen issues and emergencies that occur
  • Preparing an tour budget for the manager and business manager to approve
  • Preparing the tour book (itinerary), which contains information such as venue details, hotel details, show schedule and daily travel details.
  • Coordinates any visas and work permits needed for touring entourage
  • Completes daily guest list for RahGor and management team
  • Supports merchandiser when needed

Education and Experience:

RahGor Tour Managers need to have a High School Diploma and/or Degree in Tourism and Travel Services Management. Other suitable academic qualifications for this are Degree in Management and a Bachelor´s Degree in Business Administration, Tourism or a related field.

Executive Assistant / Liaison

 POSITION SUMMARY: The Executive Assistant / Liaison to Rahfeal "RahGor" Gordon primary responsibility is to provide logistical support and coordination, ensuring the installation of appropriate systems for RahGor success. Specifically, the position is responsible for providing assistance to RahGor, providing general office management, and meeting and event coordination.

Responsibilities:

  • Provides comprehensive support services to RahGor that ensures a professional, responsive and effective business experiences as a whole.

  • Provides sophisticated calendar management during local /global tours and business activities. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance; makes judgments and recommendations to ensure smooth day-to-day engagements.

  • Administers correspondence, manages incoming calls, and prioritizes phone messages, emails and mail. Handles all calls and visitors with grace, sophistication and professionalism.

Supervision: This position reports directly to Rahfeal "RahGor" Gordon

Job Duties

  • Writes error free, eloquent emails and letters for various events and announcements

  • Manages contacts using online database (i.e. Outlook, Google Drive, Excel, etc.) to conduct up-to-date database entry, tracks VIP relations and correspondence; facilitates relationships by familiarizing his/herself with various life events (such as birthdays, and other major milestones).

  • Provides complex travel arrangements. Becomes familiar with the specific, detailed needs of RahGor and travel partners; creates consistent travel itinerary portfolios for reference and be available during travel times to quickly address any last minute changes or cancellations

  • Accurately tracks expenses for RahGor by managing credit cards and receipts. Processes and submits receipts accurately and on schedule.

  • Maintains confidentiality and uses a high degree of discretion.

  • Prepares for meetings including ordering lunch, booking conference rooms, setting up projector or video conferencing units.

  • Takes notes and distributes meeting minutes, agendas and meeting packages.

  • Works closely with RahGor Team to arrange meetings and events as needed.

Education and Experience:

  • High school diploma required. College coursework preferred. Five to seven years’ professional experience in an executive assistant role preferred.

Event Manager

WORK SUMMARY: To manage and oversee RahGor events, ensuring staff delivers a first class service for the client, maximize all opportunities of the event, and effectively executing event plans.

SUPERVISION: This position reports directly to RahGor Liaison or Global Tour Manager

HOURS: 5-8 hours per event; flexible

PAY RATE: $25/hr

RESPONSIBILITIES:

  • Oversee the set-up of each allocated event, liaising with the client and sub-contractors as appropriate, and ensuring all aspects of the site, stock and units are prepared and implemented according to the plan.
  • Provide detailed and clear briefings prior to the start of events, ensuring the whole team has all the information they require and fully understand the objectives and standards for that event.
  • Supervise all aspects of your team’s performance; monitoring, encouraging, coaching, guiding and leading by example, and tackling any performance issues as they arise, liaising with RahGor Personal Assistant as appropriate.
  • Ensure your team performs to the expected standards, delivering a high quality service to clients, and making the most of every opportunity to give out RahGor information and sell RahGor merchandise.
  • Oversee the welfare of your team at all times (both on and off site), ensuring they are transported safely, appropriately accommodated, receive appropriate breaks and are treated respectfully.
  • Oversee the post-event breakdown, ensuring the site is left clean and tidy; all equipment and left over products secured and relocated; cash is reconciled and secured.
  • Provide the RahGor Personal Assistant with a detailed analysis post-event to include; staff performance, profitability, efficiency, support equipment, problems encountered and solutions implemented, suggestions for improvement.

Event Assistant

WORK SUMMARY: The event assistant is responsible for the preparation, cleaning, and physical setup for all RahGor meetings and events.

SUPERVISION: This position reports directly to the Event Manager

HOURS: 4-8 hours per event; flexible

PAY RATE: $15 – $20/hr

VIDEOGRAPHER

WORK SUMMARY: To shoot and edit footage of RahGor events and activities. The videographer will accomplish the bulk of the technical tasks related to production and post-production. He or she will transport, set up, and operate equipment; and assist with staging, set preparation and dressing. The videographer will work closely with Rahfeal and creative director to execute the concept through to completion.

HOURS: 3-8 hours per event; flexible

  • Determines what camera equipment is necessary and obtains equipment
  • Create recap videos of events and short commercials for media purposes

PUBLIC RELATIONS ASSISTANT (INTERN)

(3) Internship Position Available

INTERN POSITION SUMMARY: The Intern assists RahGor for public relations and marketing, helping to expand clientele and increase brand visibility. The public relations/marketing intern will work directly with Rahfeal Gordon and the public relations team. It is RahGor goal to instill the basic teachings of marketing and public relations. We hope it is a beneficial relationship for both parties. Duties might include any of the following responsibilities, as well as other, unlisted duties.

Event Manager INTERN

INTERN POSITION SUMMARY: The Event Management Intern will play an integral role in the planning, execution and evaluation of RahGor events within New York/ New Jersey area. As Event Management Intern he/she will work with the teams responsible for putting together detailed plans to execute these events. The candidate must be able to work independently. The event organizer is hands-on and will require working as part of a team. You will need to complete a wide range of activities requiring clear, effective communication, critical thinking, excellent organizational skills and attention to detail. You must be able to work well under pressure, make decisions and ensure the smooth and efficient running of each event. Additional responsibilities will include, but are not limited to fund raising, communication with sponsors, vendors, and event staff, and other duties as assigned. This position will report to the Event Manager and will attend meetings as requested by the event manager.

Hours: 5-10 hours per week. Some late evenings and weekends may be required. We will accommodate prospective student's schedules as best as possible. Actual hours may vary depending upon requirements of the position/event, etc.

Length of Internship: January – June (internships can be extended if requested)

  • High School Diploma with some course work at a 4-year college or university
